Terms of Use
Effective October 11, 2026
These Terms of Use (“Terms”) govern your use of the DentalTrackr iPhone app and the online service behind it (together, the “Service”), provided by DentalTrackr (“DentalTrackr”, “we”, “us”) of Loveland, Colorado, USA. By creating an account or using the Service, you agree to these Terms. If you use the Service on behalf of a dental practice or other organization, you confirm that you are authorized to accept these Terms for it, and “you” includes that organization. Our Privacy Policy explains how we handle information.
1. The Service
DentalTrackr helps dental practices track supply inventory: receiving deliveries, stock and lots with expiration dates, storage locations, reorder lists, spending and usage reports, multiple offices and team access. We grant you a personal, non-exclusive, non-transferable, revocable license to use the app on Apple devices you own or control, and to use the Service, in accordance with these Terms.
2. Accounts and teams
- You sign in with Apple, Google or a code sent to your e-mail address. Keep access to your device and e-mail secure; you are responsible for activity in your account.
- The person who creates a practice becomes its owner. Owners and admins decide who joins the practice, their roles and which offices they can access, and are responsible for the team members they invite and for removing access when someone leaves.
- You must provide accurate information and be at least 18 years old, or the age of majority where you live.
3. Subscriptions and free trial
- Through Apple. Subscriptions are purchased in the app through Apple’s App Store and are subject to Apple’s terms for App Store purchases. Apple charges your Apple Account; prices are shown in the app before you buy.
- Plans. Plans differ by the number of offices a practice can have: Single Office (one office), Group (up to five offices) and Enterprise (unlimited offices). A subscription pays for one practice.
- Free trial. Eligible new subscribers get a 14-day free trial. Unless you cancel at least 24 hours before the trial ends, the subscription starts and your Apple Account is charged.
- Automatic renewal. Subscriptions renew automatically for the same period unless cancelled at least 24 hours before the end of the current period. You can manage or cancel your subscription in your iPhone’s Settings (your name → Subscriptions) or from the app. Cancelling stops future renewals; the subscription stays active until the end of the period you paid for.
- Refunds are handled by Apple under its policies; we can’t issue refunds for App Store purchases. To request one, visit reportaproblem.apple.com.
- Without an active subscription, or when a practice has more offices than its plan allows, the practice becomes read-only: you can still see your data, but can’t make changes until the subscription is renewed or upgraded or offices are removed.
- Deleting your account or practice does not cancel the App Store subscription. Cancel it in Settings so you’re not charged again.
4. Acceptable use
No patient information. The Service is for supplies, not patients. You must not enter, upload or photograph protected health information or any other information about patients – including in item names, notes, supplier notes, storage locations, office names or photos. The Service is not designed to meet the requirements that apply to health records, and we do not act as your business associate.
You also agree not to:
- use the Service for anything unlawful, or to store content you don’t have the right to use;
- access other practices’ data or offices you aren’t authorized for, or try to get around access controls, usage limits or subscription checks;
- interfere with or overload the Service, probe it for vulnerabilities without our permission, or introduce malware;
- copy, modify, reverse engineer or resell the app or the Service, except where the law allows it despite this restriction;
- use automated means to access the Service other than the app, or use the Service to build a competing product.
5. Your data
Your practice owns the information it enters into the Service (“Practice Data”), including product photos. You give us permission to host, store, process and display Practice Data only as needed to provide, secure and support the Service – for example, to send a photo to our AI provider when you tap photo identification, as described in our Privacy Policy. You are responsible for the accuracy of Practice Data and for having the right to upload it. Owners can delete Practice Data at any time by deleting the practice in the app.
6. No medical or professional advice
DentalTrackr is an inventory tool. It does not provide medical, clinical, regulatory or purchasing advice, it is not a medical device, and it does not notify you of product recalls. Product suggestions from barcode lookups (U.S. FDA databases) and from photo identification (AI) can be incomplete or wrong, and stock counts and expiration dates are only as accurate as what is recorded. Always check the product, lot and expiration date on the package itself before use, and follow the manufacturer’s instructions and the rules that apply to your practice.
7. Third-party services
The Service relies on services of others, such as Sign in with Apple, Sign in with Google, the App Store, Apple Maps address suggestions, the public databases of the U.S. FDA and Anthropic’s AI model. Your use of Apple and Google services is also subject to their terms. We are not responsible for third-party services, their availability or the accuracy of the information they provide.
8. Availability and changes
We work to keep the Service available and your data safe, but the Service may be interrupted for maintenance, updates or reasons outside our control, and we don’t guarantee that it will be uninterrupted or error-free. We may change, add or remove features. If we discontinue the Service, we will give at least 30 days’ notice in the app or by e-mail.
9. Disclaimer of warranties
To the extent permitted by law, the Service is provided “as is” and “as available”, without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy and non-infringement.
10. Limitation of liability
To the extent permitted by law, DentalTrackr will not be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data, supplies or business opportunities, arising out of or related to the Service, even if advised of their possibility. Our total liability for all claims relating to the Service is limited to the greater of the amounts paid for the Service for your practice in the 12 months before the event giving rise to the claim, or 100 U.S. dollars. Some jurisdictions don’t allow certain of these limitations, so they may not apply to you.
11. Indemnity
To the extent permitted by law, you will defend and indemnify DentalTrackr against claims, losses and costs (including reasonable attorneys’ fees) arising from your violation of these Terms or of the law, or from Practice Data you enter – including any patient information entered in violation of section 4.
12. Termination
You may stop using the Service at any time and delete your account in the app (More → Account → Delete Account). We may suspend or end your access if you seriously or repeatedly violate these Terms, if required by law, or to protect the Service or other users; where reasonable, we will tell you first and give you a chance to fix the problem. When an account or practice is deleted, its data is deleted as described in the Privacy Policy. Sections 5 (as to data already provided), 6, 9, 10, 11, 13 and 14 survive termination.
13. Governing law and disputes
These Terms are governed by the laws of the State of Colorado, USA, without regard to its conflict-of-laws rules. Any dispute arising out of or relating to these Terms or the Service will be brought exclusively in the state or federal courts located in Colorado, and you and we consent to their jurisdiction. Before filing a claim, please contact us so we can try to resolve the issue informally. Nothing in these Terms limits rights you have under laws that cannot be waived by contract.
14. App Store terms
If you downloaded the app from Apple’s App Store:
- These Terms are between you and DentalTrackr only, not Apple. DentalTrackr, not Apple, is solely responsible for the app and its content.
- Apple has no obligation to provide maintenance or support for the app.
- If the app fails to conform to any applicable warranty, you may notify Apple, and Apple will refund the purchase price (if any) for the app; to the maximum extent permitted by law, Apple has no other warranty obligation with respect to the app.
- DentalTrackr, not Apple, is responsible for addressing any claims relating to the app or your use of it, including product liability claims, claims that the app fails to conform to legal or regulatory requirements, and consumer protection or similar claims.
- DentalTrackr, not Apple, is responsible for the investigation, defense, settlement and discharge of any claim that the app or your use of it infringes a third party’s intellectual property rights.
- You represent that you are not located in a country subject to a U.S. Government embargo or designated as “terrorist supporting”, and that you are not on any U.S. Government list of prohibited or restricted parties.
- You must comply with applicable third-party terms when using the app.
- Apple and its subsidiaries are third-party beneficiaries of these Terms and, once you accept them, Apple may enforce these Terms against you as a third-party beneficiary.
15. Changes to these Terms
We may update these Terms. We’ll post the new version on this page with a new effective date, and for significant changes we’ll notify you in the app or by e-mail before they take effect. If you continue to use the Service after changes take effect, you accept the updated Terms; if you don’t agree, stop using the Service and delete your account.
